1. Are there policies I have to follow regarding searches?

Yes, there are A&M System policies and A&M-San Antonio Rules and Procedures. They can be found at: http://www.tamusa.edu/compliance/rulesandprocedures.html

2. Do interview/search committees have to go through training prior to starting the review process?

Yes, the A&M System requires completion of Effective Hiring Practices in TrainTraq. Contact Patti Morgan (patricia.morgan@tamusa.edu; ext. 2054) for questions.

3. Must interview committees be diverse?

It is recommended that all interview committees be diverse if possible. Diverse committees provide varied viewpoints and help attract diverse candidates.

4. Is there information I can review prior to reviewing applications and starting interviews?

Yes, Human Resources provides a Recruitment Packet including:

  • Hiring checklists
  • Interview matrix samples
  • Suggested interview questions
  • Topics to avoid
  • Texas State Bill 805 information
  • Interview templates
  • Reference check templates
  • Summary of benefits for candidates

5. Do interview questions have to be job related?

Yes, all interview questions must be job related.

6. Who do I contact to make travel arrangements for out-of-town candidates?

For faculty interviews, contact your department or dean’s administrative assistant.

7. How many employees are required to pick up candidates from the airport or hotel?

There are no requirements.

8. Do we have to send the same employee to pick up all candidates?

No, the same employee does not have to pick up all candidates.

9. Can interviews be conducted via Teams?

Yes, interviews can be conducted via Skype.

10. Can interviews be recorded?

Yes, interviews can be recorded for committee members who cannot attend. Candidates must be notified.

11. Can committee members score candidates if they miss interviews?

Yes, if they review all interviews (in-person, Skype, or recorded). Otherwise, their scores are not counted, but they may still participate in discussions.

12. Do all candidates have to be asked the same questions?

Yes, all candidates must be asked the same core questions, but follow-up questions are allowed.

13. Do I have to interview candidates multiple times?

No, but multiple interviews can provide additional insights (e.g., phone screening, in-person interviews, informal meetings).

14. Can different committee members handle different parts of the process?

Yes, committee chairs can structure responsibilities as needed.

15. Do we have to interview a veteran?

Yes. Under Texas State Bill 805:

  • If interviewing fewer than 6 candidates → interview at least 1 veteran
  • If interviewing 6 or more → at least 20% must qualify for veteran preference

16. Do we have to interview veterans who don’t meet minimum qualifications?

No, only those who meet minimum qualifications are required.

17. For faculty searches, do we have to complete both checklists?

  • Faculty: References should be checked before final hiring recommendation
  • Staff: At least 2 references required, typically checked after interviews
    Managers/supervisors are preferred, but coworkers may be used if necessary.

19. Do we have to provide benefits information to candidates?

Yes, candidates must receive information about the Annual Security and Fire Safety Report (ASR) as required by federal law.

20. What documentation must be submitted after a hiring decision?

  • Faculty: Submit to Provost Office (includes interviews, references, checklist, matrix, and applicant materials)
  • Staff: Submit to Human Resources (includes interviews, references, matrix, and applicant materials)

21. Can we answer questions from candidates?

Yes, you can answer candidate questions and ask follow-up questions.

22. Is relocation or university information available for candidates?

Yes, Recruiting Packets include university details, local information, benefits, and more.
